Assistant Bookkeeper/Receptionist

Under the general supervision of Educational Director and the Bookkeeper, the Assistant Bookkeeper/Receptionist will be responsible for all incoming calls and maintaining the procedures that ensure the smooth running of the reception area, as well as performing the specific functions listed below.  In addition, the Assistant Bookkeeper is expected to accept training in all bookkeeping functions related to the center’s operation so that he/she may substitute for the bookkeeper when is required.

 

Essential Functions:

  • Meet and greet clients in a professional cordial way and maintain the appearance of the Reception Area
  • Receive incoming calls and take messages for staff members; retrieve all messages left with the answering service and ensure messages are given to appropriate staff members
  • Perform clerical duties such as typing, filing, shredding, preparing outgoing mail for post office; typing lists, records, absence notices, late fee notices, permanent equipment requisition, minutes and agenda for staff meetings, evaluations, menus, reports, etc.
  • Maintains relief schedules and arrange for substitutions in times of emergency, vacation or illness
  • Prepares children’s attendance reports and keeps daily staff attendance records, vacation and sick leave balances
  • Maintains permanent equipment inventory and places orders for supplies as needed
  • Collects, processes, and monitors fees on a weekly basis; completes bank reconciliation statements
  • Assists Educational Director with event planning
  • Other related tasks that may be assigned

 

Qualifications

  • High School Diploma or equivalent (GED) required
  • A minimum of six months office and receptionist experience
  • Bookkeeper certification and/or experience as a payroll or figure clerk is a plus
  • Ability to handle busy telephone system and reception area simultaneously
  • Proficiency utilizing Microsoft Office; experience with developing and maintaining databases
  • Ability to work well under pressure, handle confidential information and use discretion
  • Strong presentation and group facilitation abilities
  • Bilingual English/Spanish preferred
  • First Aid and CPR trainings required and recertified as needed

Physical Requirements: Must have the ability to complete all standard administrative and support tasks including but not limited to climbing up and down stairs, operation of computers/phones/fax/printer/copy machine, and the ability to lift boxes, furniture, and equipment up to 30lbs. Must be able to travel from the various locations and sites of Sheltering Arms. Physical and PPD clearance required.
