We are seeking an Office Manager to work under the direction of the Director of Health Services. The Office Manager will oversee and carry out tasks to assure the efficient and effective management of all aspects of the Pediatric Services of Sheltering Arms Article 29i Clinic.

Essential Functions:

  • Supervise administrative staff (Data Entry Clerk; Health Services Administrative Assistant)
  • Manage/direct all day-to-day office functions including front desk and waiting area, appointment setting, patient flow, paperwork requests; improve on current protocols
  • Oversee current billing practices and learn future practices of clinic billing
  • Maintain a smooth, efficient flow of administrative operations, ensure that patients are served as effectively and effectively as possible
  • Ensure that patient inquiries and complaints are handled in an appropriate, timely, and satisfactory manner
  • Track and manage office supplies and office equipment maintenance as well as outside vendor sourcing and purchasing
  • Track compliance with personnel licensing and continuing education requirements for clinical personnel
  • Recruit, screen, and hire and train administrative employee.
  • Other duties as assigned.



  • Bachelor’s degree required; MA or Certification in Medical Office Management preferred.
  • Administrative/supervisory experience in medical office.
  • Full competency in Excel, Word, and Data Base software
  • Excellent written and oral communication skills required.
  • Demonstrated strong interpersonal and administrative skills required.
  • Fluency in Spanish highly preferred.
