Administrative Assistant, General Preventive

Job Summary: The Administrative Assistant ensures the efficient day-to-day operation of the front desk area and supports the work of management and other staff.

Essential Functions:

  • Answer general phone inquiries using a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Reply to general information requests with the accurate information
  • Greet clients, ACS, other service providers, suppliers and visitors to the Agency in a professional and friendly manner
  • Completes Intake and Administrative paperwork.
  • Creating FSI in the Connections data base and launching the 2921 in the LDSS system
  • Proficient use of computer systems including WORD and excel spreadsheet to prepare reports and other documents
  • Keeping Intake logs up to date and organized
  • Making copies of forms and filing
  • Purchase, receive and store the office supplies ensuring that basic supplies are always available
  • Assisting the Director and Supervisor with scheduling conference rooms and completing check requests
  • Complete requests for Petty cash and Metro cards
  • Gathering Survey from clients during office events.
  • Putting together Case records for new intakes.
  • Filing, Open and Close case
  • Complete required number of staff training hours as assigned.


  • High School Diploma
  • Two years of experience in child welfare and family services
  • Experience with at risk population preferred 
  • Child welfare practice experience a plus; thorough working knowledge of ACS preventive services system
  • Excellent leadership, interpersonal communication, writing and organizational skills; Demonstrated commitment to family-centered child welfare service delivery and Flexibility and ability to work under pressure and meet deadlines
  • Strong communication skills, verbal and written

Physical Requirements: Must have the ability to complete all standard administrative and support tasks including but not limited to climbing up and down stairs, operation of computers/phones/fax/printer/copy machine, and the ability to lift boxes, furniture, and equipment up to 30lbs. Must be able to travel from the various locations and sites of Sheltering Arms.
