Special Projects Coordinator

Job Summary  

Reporting to the CFO, the Special Projects Coordinator will be responsible for working with Controller and other members of the Finance Department staff and senior program staff with the dual objectives of:

  • Automating many processes that are currently being handled manually with the goal of improving the timeliness and accuracy of many of the underlying functions of the agency
  • Serving as a focal point for the development of dashboards and other analytical tools to assist the agency in focusing on critical financial management issues.

Essential Functions

  • Automating scanning for Finance and HR and certain program records
  • Developing position control system by integrating budget, HR and payroll processes
  • Assist in agency budget process and programs budget modifications to funders
  • Creating and maintaining financial dashboard(s) for (A) agency management and (B) board and its committee presentations
  • Responsible for quarterly reporting to funders
  • Maintain position control structure
  • Prepare quarterly reconciliations for various Balance Sheet & Revenue Accounts
  • Assist with audit work papers.
  • Serving as analytical arm of Finance Department
  • Other duties as assigned


  • BS/BA in Accounting or comparable degree related to financial analytics
  • Minimum of five years of progressively responsible positions with direct involvement in the interface between financial management and technology.
  • Prior experience working with New York City and New York State funding agencies a plus
  • Proficiency in computerized accounting systems, Blackbaud-Financial Edge, ADP payroll and Microsoft Office.
  • Strong Excel skills

Physical Requirements

Must have the ability to complete all standard administrative and support tasks including but not limited to climbing up and down stairs, operation of computers/phones/fax/printer/copy machine, and the ability to lift boxes, furniture, and equipment up to 30lbs. Must be able to travel from the various locations and sites of Sheltering Arms.
