Administrative Assistant, Early Head Start

Job Summary

Providing administrative support to the Early Childhood Center Director through various clerical functions, interactions with parents and students and general support maintaining an efficient work environment

Essential Functions

  • Answer and respond to all calls received by the department, take accurate messages and route calls to appropriate staff.
  • Perform reception and clerical functions related to administration of the Early Head Start program including typing correspondence and reports, duplicating and filing documents, and sending faxes.
  • Maintain specialized EHS computer database containing programmatic information.
  • Maintain supplies of Head Start Forms and other materials required by professional staff.
  • Expedite intake process by preparing case records for all accepted families.
  • File all reports and case notes after they have been approved by Program Director.
  • Maintain accurate case lists of families served by program, including staff assigned to provide services.
  • Prepare and process mail sent/received to families, community agencies, and various Council members.
  • Generate reports from database at Program Director’s request.
  • Monitor petty cash accounts.
  • Performs other duties as delegated

Qualifications

  • Minimum AA Degree, Bachelor’s Degree preferred
  • Ability to interact with a wide variety of staff, clients and public in a calm, professional manner.
  • Excellent organizational skills and demonstrated ability to complete assignments in a timely efficient manner.
  • Microsoft Office and data entry skills
  • Bilingual (Spanish/English) preferred

Physical Requirements: Must have the ability to complete all standard administrative and support tasks including but not limited to climbing up and down stairs, operation of computers/phones/fax/printer/copy machine, and the ability to lift boxes, furniture, and equipment up to 30lbs. Must be able to travel from the various locations and sites of Sheltering Arms.
